Special Board Meeting
September 5, 2024
I. Board and Staff Member Attendance

II. Meeting call to order: J. Ellender called the meeting to order at 8:35 a.m.
III. Roll Call: Quorum was present.
IV. Invocation and Pledge of Allegiance: W. Bisland led the board in the Invocation, and J. Ellender led the board in the Pledge.
V. Public to be heard; no one was present. C. Landry entered the meeting at 8:54 a.m.
VI. Annual Pride Family Picnic 2025: J. Ellender provided meeting details. J. Smart motioned to approve the Annual Pride Family Picnic and in-kind sponsorship of $1,000.00. Seconded by C. Blanchard. Motion passed. Discussion: event’s services/items offered vs. requested, services/items provided to other entities, previous year’s sponsorship, authorized purchasing limits, sponsorship limits, other event expenditures, photos, event activities, security measures, comparison of other events and community economic impact, previous year marketing flyer/advertising, other community groups seeking sponsorship, refrain from promoting political aspects, ethics training, fair/honesty, staff working the event, business initiatives, hold harmless agreements, and meeting recap with R. Creppel.
VII. Presentation Time Limits: W. Bisland motioned to add to agenda setting time limits to presentation. Seconded by: C. Blanchard. Motion passed. W. Bisland motioned to set a maximum of ten minutes for all sponsorship presenters. Seconded by: M. Scoby. Opposed: J. Smart. Motion passed. Discussion: Q&A time frame.
VIII. S. Corbitt suggested forming an ROI sponsorship committee, which will be discussed at the next meeting.
IX. Adjournment: J. Smart moved to adjourn. Seconded by M. Scoby. Motion passed. The meeting was adjourned at 9:17 a.m.
